A Lekha sign-up sheet is a shareable page where people claim the items, shifts or time slots you need filled, with no invitation required. Participants don't need an account or an app, you see everything on one live dashboard, and it's free and ad-free. Use it for a school fair, a potluck, parent-teacher conferences or a weekly snack rota.

📋 A sheet on its own, or sign-ups inside an invitation

Choose Create → Sign-up sheet when all you need is a sign-up. Planning an event with guests and RSVPs? Keep using an invitation, and add potluck items or volunteer slots inside it.

Four kinds of sheets

🍲

Bring items

List what you need, how many of each and a category (Mains, Drinks…). Items fill up so nobody brings five trays of brownies. Great for potlucks and classroom supplies.

🙌

Volunteer shifts

Pick the dates, add time slots like 9–11 and 11–1, set the spots per slot and an optional role such as "Setup" or "Ticket desk". Perfect for fairs and fundraisers.

📆

Appointments

Choose the dates, a start and end time, and a slot length of 10, 15, 20, 30 or 60 minutes, with an optional break. Lekha creates one-person slots for conferences and office hours.

🔁

Recurring dates

Repeat weekly on the days you choose, daily or on dates you pick, until an end date or a count. Ideal for snack duty, carpools and weekly programs.

The type you pick just pre-shapes the builder. A single sheet can mix items and slots.

Create a sheet in five steps

  1. Tap Create, then Sign-up sheet.
  2. What is it? Add a title and description, and optionally a cover image and a location.
  3. Pick a type: Bring items, Volunteer shifts, Appointments or Recurring dates.
  4. Build the sheet. Use the generators to add dates, times and spots without typing every row.
  5. Choose your settings, then share. Copy the link, send it on WhatsApp, or email or text it to contacts.

What participants do

  1. Open the link and see the slots, grouped by date, with spots left. Full slots are greyed out.
  2. Tick one or more slots and enter a name and email. A phone number and a note are optional.
  3. Get a confirmation by email, with an Add to calendar file and a Manage my sign-ups link.
  4. Change their mind. From that link they can cancel, or swap to another open slot, until the host's cutoff.
  5. Get a reminder before each of their slots.

Email and texts

Everyone gets email confirmations and reminders. Text messages are available in the USA only for now. They go only to participants who enter a US phone number and tick the consent box, and they can reply STOP at any time. Outside the USA, sign-ups are by email only and no phone number is asked for.

Frequently Asked Questions

What's the difference between a sign-up sheet and sign-ups on an invitation?

A sign-up sheet stands on its own: it has slots or items and no RSVP, so it's best for volunteers, appointments or a potluck rota. An invitation is for an event with guests and RSVPs, and can include potluck items or volunteer slots inside it.

How do I create a sign-up sheet?

Tap Create, choose Sign-up sheet, add a title, pick a type (Bring items, Volunteer shifts, Appointments or Recurring dates), build your slots, choose your settings and share the link.

Do participants need an account?

No. They open your link, pick slots and enter a name and email. No account and no app download.

How do participants cancel or swap?

Their confirmation email has a Manage my sign-ups link. From there they can cancel or swap to another open slot until the cutoff you set, which is 24 hours before the slot by default.

Will participants get reminders or texts?

Yes. They get an email reminder before each slot, 2 days before by default. Texts are sent only to participants with a US phone number who ticked the consent box, and only if you left texting on.

Who can see names, emails and phone numbers?

The public sheet shows names the way you choose: full name, first name plus initial, or hidden. Emails and phone numbers are visible only to you and your co-hosts.

How do I download the list?

Open your sheet's dashboard and choose Download CSV. You can get everyone who signed up, or only the open spots.

Can I message only one day's volunteers?

Yes. You can message everyone on the sheet, or only the people signed up for a particular date.
